Privacy Policy

How Intralync collects, uses, discloses, and protects your personal information.

Scope

This policy explains how Intralync handles personal information in connection with Intralync. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

When you apply and hold membership, we collect:

  • Account details — your email address, your phone number, and a securely hashed password. We never see or store your password in readable form.
  • Your particulars — your name, role, business name, business website and/or location, trade, a short description of your business, and optionally a LinkedIn address.
  • Vetting records — your application status and the date it was decided.
  • Technical data — standard server and security logs generated when you use the site, such as IP address, browser type, and timestamps.

Please do not submit sensitive information (such as health, financial account, or government identifier details) — we do not ask for it and do not need it.

Why we collect it

We use your personal information to:

  • assess your application and verify that you genuinely own or run the business you have named;
  • create and display your entry in the member register to other admitted members;
  • operate, secure, and support your account;
  • contact you about your application, your membership, or material changes to the service; and
  • meet our legal obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

Who can see your information

The member register is not public. It cannot be viewed by search engines, by logged-out visitors, or by applicants awaiting review.

  • Admitted members can see the entries of other admitted members — name, role, business, trade, location, website, description, LinkedIn, and the email address you use for introductions. Your phone number is not shown to other members.
  • Administrators can see applications, including those pending or declined, and including your phone number, in order to carry out vetting.
  • While your application is pending or has been declined, your particulars are not shown to any member.

Only submit details you are comfortable sharing with other members of the network.

Service providers and overseas storage

We use trusted providers to run the service. They may store or process personal information on our behalf:

  • Supabase — database and authentication.
  • Vercel — website hosting and delivery.

These providers may store data on servers located outside Australia. By providing your information you acknowledge it may be held overseas, where privacy protections may differ from Australian law. We take reasonable steps to use reputable providers with appropriate security practices.

We may also disclose information where required by law, or to protect our rights, our members, or the security of the service.

Cookies

We use only essential cookies — those needed to keep you securely logged in and to maintain your session. We do not use advertising or third-party tracking cookies. Blocking essential cookies will prevent you from logging in.

Security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access. Access to the register is enforced at the database level, so unapproved and logged-out visitors cannot retrieve member records. Passwords are stored hashed.

No system is perfectly secure. We cannot guarantee absolute security, and you provide information at your own risk.

How long we keep it

We keep your information for as long as you hold membership. If your application is declined, or you close your account, we delete or de-identify your particulars within a reasonable period, except where we need to retain records to meet legal obligations or to resolve disputes.

Accessing and correcting your information

You can view and correct most of your particulars at any time from your own entry once you have an account.

You may also ask us to give you access to the personal information we hold about you, correct it if it is inaccurate, or delete it. Write to privacy@intralync.com. We will respond within a reasonable period, and will tell you if we cannot act on a request and why.

Complaints

If you believe we have mishandled your personal information, contact us first at privacy@intralync.com and we will investigate.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised, and we will take reasonable steps to notify members of material changes.
